Storage and security of Data
When you become a member or renew your membership with Medwaytri any personal information stored by us is kept secure and is never shared with any other organization or individual. Persons who have access to all or some of this information are restricted to:
- The Membership officer
- Head Coach
- Junior Coach
- Club Chairman
- Events Officer
To register with our club online a valid email address is required along with your name, this information is stored securely on club membership data base within the websites 'Content Management System'. When you become a full member of the club more information is require including:
- Date of birth
- Home Address
- Telephone number
- Emergency contact
This information is again stored securely on the membership database. Your email address and name is also added to our club email distribution list within Mail Chimp, this is a secure system where your email contact is never shown to the public nor available to any persons other than those shown above. All persons on the mailing list can unsubscribe at any time by clicking the unsubscribe button on any received emails.
Your information is only used for general club communications and club emergency information, it will not be used for any marketing purposes or outside the club.
Subject access Request
Any member who wishes to see the information stored about them and their family (in the case of family membership) can do so. There is an admin fee of £10 to provide this information and any request must be actioned within 40 calendar days.
MedwayTri will only keep your information for as long as we need it, if you are not a member for a period exceeding 3 years your information will be deleted. If you leave the club and wish your information to be deleted please contact the membership officer or club chairman to request this and the information will be deleted from our database.
